Privacy by Design

Privacy by design is the principle, codified in GDPR article 25, that data protection must be built into systems and processes from the start, not patched on afterwards. Its corollary, privacy by default, requires the most protective settings to be the default ones.

Definition

Applied to workplace AI this means: choosing tools that don't train on your data, minimizing the data in prompts (do you really need a full name for this analysis?), anonymizing or pseudonymizing before sending, setting short retention periods for conversations, and preferring local processing (SLMs) for the most sensitive data.

It is also a competitive advantage: in regulated sectors and B2B relationships, being able to demonstrate data-respectful design speeds up negotiations and gets you past clients' DPO reviews.
